How to build your weekly schedule

  1. Set the days and title. Name the week and toggle the days it covers — drop the weekend for a Mon–Fri rota, or keep all seven for a hospitality or retail roster.
  2. Add each employee. One row per staff member, with an optional role like “Barista” or “Floor lead.”
  3. Fill the shifts. Click a day to drop in your default shift, then adjust the start, end, and unpaid break. Overnight shifts that cross midnight are counted correctly.
  4. Read the totals. Hours roll up live per employee, per day, and into a weekly grand total — so you catch an over-scheduled day before you publish it.
  5. Print, export, or share. Print the grid, export a clean PDF for posting, or copy a link that carries the whole schedule in the URL.

Employee schedule maker — FAQ

Is the employee schedule maker really free?

Yes. There is no account, no paywall, and no trial. Build, print, export, and share unlimited weekly schedules for free.

Does my staff or shift data leave my computer?

No. Every name, shift time, and hour total is computed in your browser. Nothing is uploaded or stored on a server. Even the share link encodes the schedule inside the URL itself rather than saving it anywhere.

Can it handle overnight and weekend shifts?

Yes. Enter any start and end time — if the end time is earlier than the start, the tool reads it as an overnight shift crossing midnight and counts the hours correctly. You can toggle weekend days on or off.

How are the hours calculated?

Each cell measures the gap between clock-in and clock-out, deducts whatever unpaid break you set, and rounds the result. Those figures then roll upward into three running tallies — one per person, one per calendar day, and a single grand total for the entire week.

Can I export the schedule to PDF or print it?

Yes. Export PDF opens a clean printable version where your browser's print dialog offers Save as PDF, and Print sends the grid straight to your printer.

Scheduling hourly staff? Once your rota is set, check whether a fair workweek law applies in your city — many now require advance notice and “predictability pay” for late changes, like New York City's rules or Los Angeles' new retail ordinance.
